Employee Scheduling and Time-Off Tools for Small Teams: What to Look For

Employee Scheduling and Time-Off Tools for Small Teams: What to Look For

Restaurants, salons, shops, clinics and hotels often schedule staff the same way: a spreadsheet, a group chat and a lot of "can you cover my shift?" messages. It works until someone forgets a change, two people book the same day off, or you cannot tell what the week will cost in wages. A scheduling tool fixes most of this.

What a scheduling and time-off tool does

  • Builds the weekly schedule with drag and drop, templates and repeating shifts.
  • Collects availability so you do not schedule people on days they cannot work.
  • Handles time-off requests: employees ask in the app, the manager approves or declines, and the calendar updates itself.
  • Manages shift swaps and open shifts so staff can pick up or trade shifts with your approval.
  • Sends notifications by app, email or text when the schedule changes.
  • Tracks hours with a time clock, which helps with payroll.

Scheduling and time off are two different jobs. Scheduling answers "who works when". Time off answers "who is away, and is there enough coverage". The best tools connect both, so approving a day off shows you the gap right away.

What these tools cost

Prices below come from published comparisons and vendor pages (some in US dollars, and one is written by a vendor, Agendrix). They change often, so confirm on each vendor's site.

  • Agendrix (Quebec company): listed from about $2.93 per user per month billed yearly, with a Pro plan at about $4.95; 21-day free trial.
  • When I Work: about $3 per user per month for basic scheduling, higher tiers add time tracking.
  • Deputy: about $4.50 per user per month for scheduling.
  • Homebase: a free plan for one location with up to 20 employees; paid plans start around $24.95 per location per month, and paid time-off controls arrive at the Plus tier (about $59.95).
  • Sling and Connecteam: both offer free tiers for basic scheduling or small teams.

For a team of ten, expect anything from free to roughly $50 a month. Look closely at whether time-off management is included or sits in a higher plan.

How to choose

  1. List your real problems. Late changes? Time-off conflicts? Counting hours for payroll? Choose for those.
  2. Check the staff side. If employees will not use the app on their phones, nothing else matters. Try it with two or three of them.
  3. Check French support. In Quebec, your team may prefer a French interface and notices.
  4. Check time-off rules. Can you set vacation balances, blackout dates and approval steps?
  5. Look at the exit. Can you export your data if you leave?
  6. Start with a free plan or trial before you commit to a year.

When a custom tool makes sense

Off-the-shelf tools fit most teams. A custom tool can pay off when your rules are unusual (several locations, special pay rules, a link to your existing booking or payroll system) or when you want staff scheduling inside your own business app. You can try a working example in our staff scheduling and time-off demo.

A simple starter plan

  1. Pick two tools and test each for two weeks with a small group.
  2. Put time-off requests in the tool only, not in texts.
  3. Publish the schedule at the same time every week.
  4. Review the first month: fewer conflicts, less back-and-forth, hours easier to count.
